DATA HANDLING / INITIAL EMAIL

Keep the First Email High-Level

The initial email exists to determine manufacturing fit. It is not a technical-data exchange channel.

Bring the part, volume, material or process, and deadline. The build desk screens the route before anyone commits capacity or lead time.

SAFE TO SHARE

Use the four-field RFQ first.

EXCHANGE PATH

What happens before technical files move?

  1. Fit is established. The first discussion stays at the business, stage, quantity, and decision level.
  2. The information category is identified. The parties determine confidentiality, export, customer, security, and other handling requirements that apply.
  3. Authority and controls are confirmed.Identity, legal terms, access, storage, transmission, retention, and permitted use are agreed.
  4. The approved channel is named.Only then may authorized technical material move through the approved account and system.

If sensitive information is sent by mistake

Do not resend it. Reply without additional sensitive detail and state only that a handling issue needs attention.
